Each monitored key is attached to an individually identified RFID key fob and stored in a mechanically secured slot. Users identify themselves with an authorized proximity card or PIN, and the system releases only the keys assigned to them according to defined permissions and schedules. Every retrieval and return is automatically recorded, providing a complete event history and clear responsibility for each key. Key reservations and return deadlines help organizations enforce internal procedures and maintain control over shared resources.

RKDS can operate as a standalone solution managed locally through an intuitive touchscreen or remotely through a web browser. Its modular design allows the system to expand as requirements grow. A single control panel can manage a main cabinet and up to three expansion cabinets, supporting up to 128 monitored keys in a standalone configuration. Glass-front cabinets and compartment-based models can operate together within the same system, allowing the solution to be adapted to different types of keys, credentials, and other managed assets.

For organizations using RACS 5, RKDS can become part of one integrated access control environment. A shared user database and common credentials allow administrators to manage permissions for rooms and keys from the VISO software. The integration can also support rules such as preventing a user from leaving the premises before returning a borrowed key. Integration with third-party systems is available for individually developed projects.
